Position Summary

  • We are seeking a meticulous Document Controller to manage and organize project documentation for a power plant project, with a specific focus on photovoltaic plants. The Document Controller will be responsible for establishing and maintaining an efficient document control system, ensuring accurate document management, distribution, and control. The ideal candidate must have excellent organizational skills, attention to detail, and a minimum of five (5) years of experience in document control within the construction industry, preferably in power plant or renewable energy projects.

  Responsibilities

    • Establish and maintain a centralized document control system to manage all project-related documentation, including drawings, specifications, reports, correspondences, and contracts.
    • Organize and categorize documents by project requirements, ensuring proper version control, naming conventions, and filing systems.
    • Receive, log, and record incoming and outgoing project documentation, ensuring accurate and up-to-date information is maintained.
    • Distribute documents to relevant project stakeholders, ensuring timely and efficient delivery while maintaining confidentiality and security.
    • Maintain a document tracking system to monitor the status of documents, including revisions, approvals, and transmittals.
    • Ensure compliance with document control procedures, standards, and best practices, and implement improvements as necessary.
    • Collaborate with project team members, engineers, contractors, and subcontractors to facilitate document control processes and resolve any issues or discrepancies.
    • Perform quality checks on documents to ensure accuracy, completeness, and adherence to project requirements.
    • Assist in the preparation of document control reports, including document logs, status reports, and progress updates.
    • Support project audits and inspections by providing requested documents and ensuring all documentation is readily accessible.
    • Maintain confidentiality and data security of sensitive project documents and information.
    • Stay updated with industry trends, software applications, and emerging technologies related to document control and information management.

Qualifications

  • Bachelor’s degree in a relevant field or equivalent experience.
  • Minimum of five (5) years of experience in document control within the construction industry, preferably in power plant or renewable energy projects.
  • Proficient in using document control software and tools, such as Document Management Systems (DMS) or Electronic Document Management Systems (EDMS).
  • Solid understanding of document control procedures, standards, and best practices.
  • Familiarity with power plant construction processes and documentation requirements is a plus.
  • Excellent organizational skills and attention to detail, with the ability to manage and organize large volumes of documents.
  • Strong knowledge of Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Excellent communication and interpersonal skills to effectively collaborate with project team members and stakeholders.
  • Ability to work independently, prioritize tasks, and meet deadlines.
  • Proactive problem-solving skills and ability to adapt to changing project requirements.
  • Familiarity with relevant regulatory requirements and compliance standards.
  • Knowledge of data management and information security principles.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Willingness to learn and adapt to new technologies and software applications as required.
